Job Overview:
The Hotel Operations Coordinator primarily supports the Corporate team by providing administrative reporting, project coordination, and brand compliance support within a multi-property hotel management environment. This role coordinates operational reporting, brand program implementation, compliance tracking, celebratory recognition initiatives, and cross-functional project follow-up to help ensure deadlines are met and company initiatives are successfully executed. The Hotel Operations Coordinator plays an important role in supporting operational consistency across properties, communicating key initiatives, monitoring performance metrics, and keeping leadership informed through accurate reporting and timely follow-up, all in alignment with our company objective, “hospitality from our family to yours”.
Job Responsibilities:
- Prepare and maintain weekly operational reports by compiling required brand and company performance data within designated reporting tools.
- Analyze results against prior reporting periods, identify trends and variances, and communicate significant findings or concerns to leadership.
- Monitor operational reporting deadlines and follow up with properties regarding incomplete, inaccurate, or overdue submissions.
- Review recurring brand communications, program announcements, task requirements, and implementation deadlines.
- Research brand initiatives, attend or review applicable webinars, and summarize key requirements and operational impacts for corporate and hotel leadership.
- Develop implementation checklists, rollout guidance, and supporting communications for new brand programs and operational requirements.
- Maintain centralized tracking tools by property to monitor assigned tasks, training requirements, implementation progress, deadlines, and completion status.
- Send routine reminders and follow-up communications to support timely completion of assigned responsibilities.
- Prepare periodic status summaries identifying completed requirements, outstanding items, upcoming deadlines, and properties requiring additional follow-up.
- Coordinate recognition weeks and other celebratory initiatives by developing planning checklists, timelines, and communications for hotel leadership.
- Collect and track each hotel’s planned recognition activities and organize supporting documentation, including photos, examples, receipts when applicable, and event recap notes.
- Perform additional administrative and operational duties as assigned.
Job Qualifications:
- Minimum 1 year of experience supporting senior leadership in an administrative, corporate operations support, or similar role.
- Bachelor’s degree preferred or equivalent combination of education and relevant experience.
- Strong proficiency in Microsoft Office Suite, particularly Excel, Word, Outlook, and PowerPoint.
- Demonstrated ability to manage multiple priorities, deadlines, and projects in a fast-paced, multi-location environment.
- Strong organizational skills with high attention to detail and accuracy in reporting and documentation.
- Experience compiling, analyzing, and summarizing operational data to identify key trends and variances.
